How to create relationships between entities

Prerequisites

  • Permission to edit the entity (collaborator with write access, editor, or admin role)

Steps

You can link an entity to others in two ways. Use the Relationships tab to build links by hand. Use a relationship field on the Info tab when your template has one. An administrator sets up that field first, as described in how to set up relationship properties on a template.

Each relationship can carry a label called a relationship type, such as "Author of" or "Mentioned in". Links you make on one entity also show on the other entity.

Create a relationship

  1. Open the entity and select the Relationships tab in the right sidebar.

  2. Select Edit in the footer.

  3. Select New relationships group at the bottom of the graph.

  4. Open the relationship type drop-down on the right and select a type.

    The Add entities / documents panel opens.

  5. Type a name in the search box, then select an entity from the results. The search box matches entity titles.

    Repeat to add more entities to the group.

  6. To label the current entity's side too, open the left drop-down and select a type. Leave it as No Label if you don't need one.

  7. Select Save.

Add entities to an existing relationship

  1. On the Relationships tab, select Edit.
  2. In the group you want to grow, select Add entities / documents.
  3. Search for an entity, then select it from the results.
  4. Select Save.
  1. On the Relationships tab, select Edit.

  2. Select Add entities / documents, then select Create Entity.

  3. Select a template, type a title, and fill in the fields.

  4. Select Save in the panel.

    The new entity joins the group.

  5. Select Save in the footer to keep the relationship.

Move entities between groups

  1. On the Relationships tab, select Edit.

  2. Select the check mark icon on each entity you want to move.

  3. Go to the target group and select its arrow icon.

    The checked entities move in and take on that group's relationship type.

  4. Select Save.

Change a relationship's label

  1. On the Relationships tab, select Edit.
  2. Open the relationship type drop-down on the left side or on a group.
  3. Select a different type, or select No Label to remove the label.
  4. Select Save.

Remove a relationship

  1. On the Relationships tab, select Edit.
  2. Select the trash icon to mark what to remove:
    • On one entity, to remove a single link.
    • On a group, to remove every link in it.
    • On the left side, to remove the whole row.
  3. To undo a mark before saving, select the trash icon again.
  4. Select Save.

Create a relationship through a metadata field

note

A link made through a field comes back if you remove it on the Relationships tab while the field still lists that entity. Remove it from the field instead.

  1. Open the entity and stay on the Info tab.
  2. Select Edit in the footer.
  3. Find the relationship field, labelled with the name your administrator gave it.
  4. Type to search, then select an entity to add it. Select an added entity's remove control to take it out.
  5. Select Save.

Narrow the entities in the view

When an entity has many relationships, use these controls on the Relationships tab to find what you need. You don't need edit mode.

  1. To search, type a name in the Search related entities or documents box above the graph. Select the clear icon to show all again.
  2. To reorder, use the sort buttons above the graph. They sort the related entities by title or by another property.
  3. To filter, open the grouped list in the right sidebar. Select a relationship type or an entity type to show only matching links.
  4. Select Reset in the sidebar to clear all filters.

Result

The linked entities appear on the entity's Relationships tab, and field links also appear in their field on the Info tab.
