How to manage filters for the library

Steps

Filters in Uwazi have two parts you control on their own. One part is the metadata properties that appear as filter widgets in the library sidebar. The other is the templates that appear in the library's template selector.

Enable or disable a property as a filter

These steps control which metadata properties appear as filters in the library sidebar.

  1. Go to Settings > Templates and open the template you want to edit.
  2. Select a property row to open its settings panel.
  3. Select Use as filter to make the property a filter. If the option isn't visible, the property type doesn't support filtering. Image, media, link, geolocation, and preview properties don't have this option. The built-in Title, Date added, and Date modified properties don't have it either.
  4. To show the filter by default in the library, select Default filter. This option appears only when Use as filter is on.

    Clearing Use as filter also clears Default filter and Priority sorting.

  5. Select Accept to apply your changes to the property.
  6. Check the conflict table if it appears below the settings panel. Rows in red mean the property name matches a property in another template, but the types or thesauri don't match. Uwazi blocks saving until you resolve all conflicts.
  7. Select Save to save the template. If the template has more than 3,000 entities, a dialog appears first.

To disable a property as a filter, open its settings panel, clear Use as filter, and select Save.

Add and remove templates from the library template selector

These steps control which templates users can choose from in the library. Once you add at least one template here, a Featured / All toggle appears in the library. Featured shows only the templates you set up here, in the order you chose. All shows every template in A-to-Z order. If you haven't added any templates, the library shows all templates and the toggle doesn't appear.

  1. Go to Settings > Filters.
  2. Select Add entity type. A dialog opens with all templates not already in the list. Select one or more and select Add. The selected templates appear at the bottom of the list.
  3. To create a named group, select Add group. A side panel opens. Enter a name in the Name field. To add templates now, select them from the Entity types field. Select Add to save the group.
  4. Drag rows to set the order. This order matches what users see in the library template selector.
  5. To edit a group, select Edit on its row. Change the name or members in the side panel and select Update.
  6. To remove an entry, select its checkbox and select Delete selected. You can remove templates from inside a group the same way. Uwazi removes empty groups when you save.
  7. Select Save. Uwazi shows "Filters saved" and updates all open sessions in real time.

To clear all templates, delete all entries and select Save. The library returns to showing all templates in A-to-Z order.

Result

The library sidebar shows the filter properties you set up. The template selector shows the templates you added.

tip

If you rename a template, Uwazi updates its name in the top-level list but not inside groups. Groups store a separate copy of the name, so open each affected group and select Update to sync it.
